Our Story

We Built the System We Wished We Had

After 15+ years running databases, writing grant reports, and sitting across the desk from people asking for help — we built software that finally connects the entire chain of care.

Think about what happens when someone walks into a homeless shelter, a mental health clinic, or a community center and says "I need help."

From that moment, a whole chain of work starts. Someone takes down their information. Someone figures out which programs they qualify for. Case managers start writing notes, logging services, tracking whether that person is actually getting better. Meanwhile, the organization has to pay its staff, track their hours, manage schedules, and at the end of every month or quarter, prove to the people who fund them — the government, foundations, Medicaid — that the money was spent correctly and the services were delivered.

Most nonprofits are juggling four or five different software systems to do all of that. One for case management, one for timekeeping, one for accounting, one for reporting, maybe spreadsheets filling the gaps. Staff waste hours re-entering the same information in different places. Reports take days to pull together. And things fall through the cracks — a client misses an appointment and nobody notices for two weeks.

We didn't start with a blank whiteboard. We started with years of doing this work ourselves — and a long list of frustrations with the tools we were given.

The GCODE Nonprofit Systems is one platform that handles all of it. A new client walks in the door, and from intake all the way through to the financial report that goes to the funder, it's all connected. Case notes, service records, housing placements, staff timesheets, payroll, scheduling, messaging, training, consent forms — all in one place.

The part that really sets it apart is funding tracking. Every service a staff member logs, every hour they work, every dollar spent — the system traces it back to the specific grant or contract that's paying for it. When it's time to report to a funder, the data is already there. No scrambling. No spreadsheets. No guessing.

This platform wasn't built from a tech background by people guessing at what nonprofits need. It was built by people who spent years doing this work themselves — running HMIS databases, writing grant reports, managing case loads, training front-line staff. People who sat across the desk from a client and then had to go fight a spreadsheet to prove the interaction happened.

That experience is in every design decision. Why the intake form works on a phone. Why every service auto-links to a funding source. Why the housing module tracks beds and units. Why the system creates a HIPAA-compliant audit trail without anyone having to think about it.

We built the system we wished we'd had — and we built it so that your staff can spend more time with the people they serve and less time fighting their software.
